RAC Event Terms & Policies

ROCHESTER ANIME CLUB EVENT TERMS & POLICIES

Last Updated: September 30, 2026

These Event Terms & Policies (“Terms”) apply to events organized, hosted, presented, or operated by Rochester Anime Club (“RAC,” “we,” “us,” or “our”), unless different or additional terms are provided for a particular event.

By purchasing a ticket, registering for, entering, or participating in an RAC event, attendees agree to comply with these Terms, all event-specific rules communicated by RAC, and all applicable rules of the event venue.

1. EVENT ADMISSION & REGISTRATION

Admission to an RAC event may require a valid ticket, RSVP, registration, identification, or other proof of admission.

RAC reserves the right, to the extent permitted by law, to deny entry or remove an attendee who:

  • Violates these Terms or event-specific rules;

  • Violates venue policies;

  • Engages in threatening, violent, harassing, discriminatory, destructive, dangerous, or substantially disruptive behavior;

  • Interferes with event staff, vendors, performers, participants, or other attendees;

  • Possesses prohibited or unlawful items;

  • Attempts to gain unauthorized access to restricted areas;

  • Engages in illegal activity; or

  • Otherwise creates a material safety or security concern.

Removal for violation of these Terms may result in loss of admission privileges without refund, to the extent permitted by applicable law.

2. CODE OF CONDUCT

RAC events are intended to provide a welcoming and enjoyable environment for the community.

Attendees must treat other attendees, RAC staff and volunteers, venue employees, vendors, performers, photographers, DJs, and other participants with reasonable respect.

RAC does not tolerate harassment, threats, intimidation, unwanted physical contact, fighting, stalking, deliberate property damage, or other conduct that reasonably threatens the safety or enjoyment of others.

Sexual harassment and unwanted sexual conduct are prohibited.

An attendee who experiences or witnesses a safety concern is encouraged to notify RAC or venue staff as soon as possible.

Depending upon the circumstances, RAC or the venue may issue a warning, require certain conduct to stop, remove an attendee, contact security or law enforcement, or take other reasonable measures.

3. SAFETY & ASSUMPTION OF ORDINARY EVENT RISKS

Attendees understand that participation in an in-person event involves ordinary and reasonably foreseeable risks, including, depending on the event, crowds, loud music, flashing or changing lights, dancing, games, physical movement, food and beverages, temporary equipment, costumes, props, and interactions with other attendees.

Attendees are responsible for exercising reasonable care for their own safety and complying with posted instructions, venue requirements, and directions from authorized RAC or venue personnel.

Nothing in these Terms is intended to release, waive, disclaim, or limit liability where doing so would be prohibited by applicable law.

4. EMERGENCIES & SAFETY INSTRUCTIONS

In the event of an emergency, attendees must follow instructions provided by venue personnel, RAC representatives, security personnel, emergency responders, or law enforcement.

Attendees must not intentionally obstruct entrances, exits, aisles, fire exits, emergency equipment, or evacuation routes.

RAC may pause, modify, or end an activity when reasonably necessary to address a safety or security concern.

5. COSTUMES, COSPLAY, MASKS & PROPS

Costumes and cosplay may be permitted or encouraged at designated RAC events.

Costumes and props must not create an unreasonable danger to attendees, staff, venue property, or surrounding persons.

RAC and/or the venue may prohibit or require modification or removal of items that present a safety concern or violate venue policy or applicable law.

Props must not be used to threaten, intimidate, strike, injure, or intentionally frighten other attendees.

Costumes must not materially obstruct walkways, exits, emergency equipment, or another attendee's ability to safely move through the venue.

Any event-specific costume, mask, prop, or security requirements announced for a particular event are incorporated into these Terms.

6. COSTUME & COSPLAY COMPETITIONS

When RAC conducts a costume, cosplay, gaming, or other competition, additional competition rules may be announced before or during the event.

Participants must comply with those rules to remain eligible.

Unless otherwise stated, decisions regarding scoring, eligibility, rule enforcement, ties, and winners will be made by RAC's designated judges or event representatives in good faith and will be final, subject to applicable law.

RAC may disqualify an entry that violates competition rules, event safety requirements, these Terms, or venue policies.

Prizes have no cash value unless RAC expressly states otherwise.

7. PHOTOGRAPHY, VIDEO & RECORDING

Photography and video recording may occur at RAC events.

RAC may designate certain photographers, videographers, content creators, or areas for official event coverage.

Where RAC intends to use an identifiable attendee's name, portrait, picture, likeness, or voice for advertising, promotional, or trade purposes, RAC will obtain consent as required by applicable law.

Where applicable, attendees may be presented with a separate photo/video release during registration or check-in authorizing specified uses of their image, likeness, and/or voice.

For minors, any consent requiring authorization from a parent or legal guardian must be provided by the appropriate parent or guardian.

Attendees taking their own photographs or recordings must respect applicable law, venue rules, and reasonable instructions from RAC or venue personnel.

Possession of a ticket or presence at an event does not transfer to RAC ownership of an attendee's identity, likeness, or other rights that cannot lawfully be transferred merely by attendance.

8. RAC-CREATED EVENT CONTENT

Except where otherwise agreed, RAC retains its rights in photographs, videos, graphics, promotional materials, event branding, and other original content created by RAC or created for RAC where the applicable rights have been assigned or licensed to RAC.

Nothing in these Terms transfers copyrights owned by independent photographers, videographers, artists, venues, vendors, attendees, or other third parties to RAC.

9. FOOD, BEVERAGES & ALLERGIES

Food and beverages may be available at certain RAC events through RAC, the venue, vendors, or other third parties.

Attendees with allergies, dietary restrictions, or other food-related concerns are responsible for making appropriate inquiries before consuming food or beverages.

RAC cannot guarantee that food or beverages prepared by third parties are free from particular allergens or cross-contact unless specifically represented otherwise.

Attendees must comply with venue policies regarding outside food and beverages.

10. ALCOHOL

If alcoholic beverages are available at an event, alcohol service is subject to applicable New York law and the policies of the licensed venue or alcohol provider.

Attendees may be required to provide valid government-issued identification establishing legal drinking age.

Providing alcohol to a person who is not legally permitted to consume it, using false identification, or otherwise violating applicable alcohol laws is prohibited.

RAC and/or the licensed alcohol provider or venue may refuse alcohol service when required or permitted by law.

No attendee should drive while impaired.

11. PERSONAL PROPERTY

Attendees are responsible for safeguarding their personal belongings.

To the fullest extent permitted by applicable law, RAC is not responsible for loss, theft, misplacement, or damage to unattended personal property when the loss or damage was not caused by conduct for which liability may not lawfully be disclaimed.

Lost-and-found procedures may vary by venue.

12. PROPERTY DAMAGE

Attendees may be held responsible, to the extent permitted by law, for damage they intentionally or negligently cause to RAC property, venue property, vendor property, equipment, merchandise, decorations, or another person's property.

Intentional vandalism or destruction of property may result in immediate removal and may be reported to the appropriate authorities.

13. MINORS

Age requirements may vary by event.

When an event has an age restriction, the restriction will be displayed on the event listing or otherwise communicated by RAC.

A parent or legal guardian is responsible for providing any consent legally required on behalf of a minor.

RAC may require minors to be accompanied by a parent, legal guardian, or responsible adult for certain events.

Attendance at an RAC event does not, by itself, create a custodial, supervisory, childcare, or guardian relationship between RAC and a minor attendee.

14. TICKETS, REFUNDS & NO-SHOWS

Unless otherwise stated on the applicable event listing, ticket sales are final and non-refundable after purchase, except where a refund is required by applicable law.

Failure to attend an event, arriving late, personal scheduling conflicts, transportation issues, or voluntarily leaving an event do not entitle an attendee to a refund.

If Rochester Anime Club cancels an event, RAC will communicate the applicable refund, credit, rescheduling, or other available options consistent with the terms of the ticket purchase and applicable law.

If an event is postponed or rescheduled rather than cancelled, RAC will communicate the options available to ticket holders.

An attendee who is denied admission or removed for violating RAC Event Terms & Policies, event-specific rules, venue policies, or applicable law is not entitled to a refund to the extent permitted by law.

Tickets or registrations may not be duplicated, fraudulently reproduced, or used to admit more individuals than authorized.

Any event-specific restrictions regarding ticket transfers or resale will be identified on the applicable event listing.

15. EVENT CHANGES, POSTPONEMENT & CANCELLATION

Event programming may occasionally change.

To the extent permitted by law, RAC may reasonably modify event schedules, activities, competitions, vendors, entertainment, menus, layouts, or programming.

If an event is postponed, relocated, or cancelled, RAC will communicate available options and any applicable refund procedures consistent with the ticket terms and applicable law.

16. THIRD-PARTY VENUES & VENDORS

RAC events may take place at venues owned or operated by third parties and may include independent vendors, food providers, performers, photographers, DJs, or other service providers.

Those parties may maintain their own rules, policies, terms, and legal responsibilities.

Attendees must comply with applicable venue requirements in addition to these RAC Terms.

RAC does not assume responsibility for the independent acts or omissions of third parties except to the extent responsibility is imposed on RAC by applicable law.

17. PROHIBITED AND DANGEROUS CONDUCT

Attendees may not intentionally engage in conduct that creates an unreasonable risk of injury or property damage.

This includes fighting, intentionally throwing objects at others, tampering with safety equipment, deliberately blocking emergency exits, intentionally damaging equipment, or using props or other objects in a dangerous or threatening manner.

RAC may immediately involve venue security, emergency services, or law enforcement when reasonably appropriate.

18. HEALTH & ACCESSIBILITY

Attendees are responsible for determining whether they can safely participate in voluntary event activities.

Anyone experiencing a medical emergency should immediately contact venue staff, RAC personnel, or emergency services.

RAC will comply with applicable accessibility and nondiscrimination requirements. Attendees seeking a reasonable accommodation are encouraged to contact RAC in advance when advance notice would assist in arranging the accommodation.

19. HARASSMENT & DISCRIMINATION

RAC prohibits unlawful discrimination and harassment at its events.

Harassment based on legally protected characteristics, unwanted sexual conduct, threats, intimidation, or targeted abusive conduct may result in intervention or removal.

Nothing in this policy is intended to restrict rights protected by applicable law.

20. MERCHANDISE & VENDOR PURCHASES

Purchases made directly from independent vendors are transactions between the attendee and that vendor unless otherwise stated.

RAC is responsible for merchandise sold directly by RAC subject to the applicable purchase, return, and consumer-protection laws.

Vendor participation in an RAC event does not necessarily constitute RAC's endorsement or guarantee of every product or service offered by that vendor.

21. INTELLECTUAL PROPERTY

“Rochester Anime Club,” “RAC,” RAC logos, original RAC graphics, event branding, and other RAC-created materials may be protected by applicable intellectual-property laws.

Attendance at an event does not grant attendees a license to commercially reproduce RAC's protected branding or original content except as permitted by law or with appropriate permission.

RAC does not claim ownership of third-party anime characters, artwork, trademarks, music, franchises, or other intellectual property merely because such material may be referenced by attendees, vendors, or event themes.

22. COMPLIANCE WITH LAW

All attendees must comply with applicable federal, New York State, Monroe County, City of Rochester, and other applicable laws and regulations.

Nothing in these Terms authorizes conduct prohibited by law.

23. SEVERABILITY

If a provision of these Terms is determined to be unlawful, invalid, or unenforceable, that provision will be interpreted or limited to the extent permitted by law, and the remaining provisions will continue to apply to the extent legally permissible.

24. NO WAIVER OF NON-WAIVABLE RIGHTS

Nothing in these Terms is intended to waive or limit any consumer right, statutory protection, duty, remedy, or liability that cannot legally be waived or limited under applicable law.

25. GOVERNING LAW

These Terms are governed by the laws of the State of New York, without regard to conflict-of-law principles, except where applicable law requires otherwise.

26. CHANGES TO THESE TERMS

RAC may update these Terms from time to time.

The version applicable to an event will generally be the version made available in connection with registration or ticket purchase, subject to any additional event-specific terms and applicable law.

Material changes should not retroactively eliminate rights that an attendee already possesses under applicable law.

27. CONTACT

Questions regarding these Event Terms & Policies may be directed to Rochester Anime Club through the contact information provided on the official RAC website or event page.

By registering for, purchasing admission to, or attending an RAC event, attendees acknowledge that they are responsible for reviewing and complying with these Event Terms & Policies and any additional rules applicable to the specific event.
